Vessel Boarding Agent Trainee

We are seeking a proactive and detail-oriented Vessel Boarding Agent Trainee to oversee the seamless coordination of port operations, ensuring efficient cargo handling, compliance with international trade regulations, and exceptional client service. As a vital link between shipping lines, freight forwarders, carriers, and clients, you will manage daily port activities, facilitate smooth logistics processes, and uphold safety standards. This role offers an exciting opportunity to be at the forefront of global trade logistics, driving operational excellence and fostering strong client relationships.

Duties

  • Coordinate and supervise vessel arrivals and departures, ensuring timely berthing and departure schedules.

  • Manage communication with shipping lines, terminal operators, customs authorities, and clients to facilitate smooth cargo movement.

  • Oversee cargo documentation, including bills of lading, manifests, and trade compliance paperwork in accordance with international trade regulations.

  • Monitor and optimize transportation management systems (TMS) and other logistics software such as CRM platforms and EDI for efficient data entry and dispatching.

  • Negotiate contracts with carriers, freight brokers, and third-party logistics providers (3PL), ensuring competitive pricing and service quality.

  • Facilitate freight forwarding logistics for air freight, sea freight (including NVOCC operations), and trucking services; coordinate shipment scheduling and tracking.

  • Ensure adherence to FDA regulations and other safety standards related to shipping logistics and transportation planning.

  • Lead client relationship management efforts through effective communication, problem resolution, and service delivery excellence.

  • Maintain accurate records of shipments, dispatches, pricing agreements, and contractual obligations using systems like AS400 or equivalent.

Skills

  • Knowledge of supply chain management principles and transportation management systems (TMS) is not required but welcomed.

  • Experience in logistics company operations including freight brokerage, freight forwarding logistics, and shipping logistics is not required but welcomed.

  • Strong customer relationship management (CRM) skills coupled with excellent client communication abilities.

  • Familiarity with international trade regulations such as FDA compliance and trade documentation requirements is not required but welcomed.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

  • Strong organizational skills with attention to detail in managing shipping documentation and compliance records.

Requirements

  • Must be 21 or older

  • Must have a clean driving record

  • Must have own vehicle – mileage reimbursed at .67 mile

  • Must have clean criminal record and possess or be able to obtain a TWIC (client will pay for TWIC if needed)
